Interior handover checklist: 5 checks before acceptance

Divide completion reviews into finishes, door and furniture operation, lighting and equipment, remedial items, and handover information. This checklist applies to commercial and office spaces.

Follow a fixed route from the entrance to avoid missing areas.

Before you begin

  • Walk consistently from the entrance and take photographs identifying locations.
  • Rehearse actual use of furniture and equipment.
  • Record responsibility, target dates, and verification results for remedial items.

Finish checks beginning at the entrance

Follow the same sequence through rooms and corridors from the entrance.

A useful checklist follows the space. Start at the entrance, move along walls, and inspect each room in the same direction. Take an overall location view and a close-up of each issue so everyone can find it.

Review floor-wall boundaries, frames, corners, and cabinet ends. Ask whether visible marks need cleaning or finish investigation. Start with accurate site observations rather than assigning causes or responsibility from photographs.

Conflicts when doors and cabinets open

Lockable storage and waiting chairs in the same area
Operate cabinet doors and check conflicts with waiting furniture.

Furniture changes apparently generous aisles. Check passage with chairs pulled out and occupied and with cabinets open. Test doors against furniture and handle access for convenient use.

In salons, rehearse staff working around occupied chairs; in offices, retrieve documents and walk to meetings. Record checks awaiting furniture not yet installed. Review actual use alongside plan clearances.

What to check at this stage

  • Have all doors and drawers been opened and closed?
  • Have routes been checked with furniture in use?

Testing lights and equipment

Check operation and instructions with installers, recording untested items separately.

Test which lights each switch operates and record zone use. Work at counters and desks to identify glare and shadows. Describing which task is difficult at which position is more useful than saying it seems dark.

Follow installers' instructions when testing systems and obtain maintenance guidance. Clients should not dismantle electrical cabinets or ceiling interiors. Distinguish technical explanations from everyday controls and request the necessary instruction.

Record remedial locations and deadlines

Check movement and maintenance space after furniture and equipment arrive.

List location, observation, photo reference, responsibility, and target action date. An example is the right-hand consultation entrance frame, joint check requested, photo 03, schedule to follow responsible review. When causes remain unknown, record observations rather than guesses.

Separate messenger requests from different people can duplicate or omit issues. Consolidate a single list and add verification dates after action. Distinguish immediate fixes from return visits so outstanding work remains clear after handover.

Material records and maintenance contacts

Office storage with furniture and equipment installed
Retain product information and operating guidance alongside construction photographs.

Collect material names and codes, care guidance, equipment instructions, and contacts after completion checks. These support later finish replacement and equipment queries. Confirm final site changes appear in the delivered documents too.

Acceptance may not mean every condition has been tested. Record when and with whom undelivered equipment or operational checks will be reviewed. Keep these records separately from completion photographs for easier routine maintenance and follow-up.
